The Role of Submittals in Construction Projects
Submittals in construction are documents sent from a contractor or supplier to be reviewed and approved by the engineer, architect or client stakeholders. These documents can be drawings, mockups, diagrams, cut sheets, product specifications, etc. Submittals are intended to provide engineers and architects with the opportunity to verify that the correct specifications will be met for any products or services that are installed or executed on the project.
On major projects there can be thousands of materials and custom fabricated parts or equipment that are installed. Fabricators will therefore need to deliver shop drawings that specify the details such as capacity, load, dimensions, quantity, flow, power, etc. This involves a rigorous exchange between supplier and engineer to make certain there is alignment prior to fabrication and installation.
Streamlining Submittal Compliance
Submittals typically go through a review process to ensure compliance prior to them being approved for construction. In 4castplus, the client can specify certain documents as contractual obligations that must be met by the supplier or subcontractor as specified on a purchase order or subcontract.
Once a purchase order or subcontract is issued in 4castplus, the vendor can upload submittal documents to the 4castplus Vendor Portal to meet these obligations. These documents can then be routed through a multi-stage approval process where the client team – from engineers & architects to project managers and other stakeholders – can validate and approve the submittals.
An approved submittal can also optionally be tied to a vendor payment milestone. Vendors can even upload submittals prior to the purchase order being committed. This document exchange can begin with the bidding (RFQ) process.
Submittals play a key role in making sure both the technical requirements are being met, but also as a communication tool that enforces alignment between client, suppliers and subcontractors.
